The Subcontractor Portal give you the ability to create a private service network of your subcontractors and partners right inside your Autotask system. Through the portal you can:
- Assign a ticket to an outsourced partner the same way you assign it to your staff
- Negotiate terms and conditions with your partners
- Track which of your outsourced tickets have been accepted
- Track time, notes and status changes made by your partner, in real time
- Automatically bill your subcontractor’s work at the pre-defined rates you set
- Receive invoices from your partners for the work they perform
The Subcontractor Portal provides your partners with many of the ticket management features available to your staff in Autotask. Logged on users can view lists of tickets assigned to them and, with the correct permission, tickets waiting acceptance. NOTE: Subcontractor Portal user access is limited to transactions related to the users company. Partners cannot see tickets or partner information for other subcontractors using the portal.
A search feature in the portal allows users to search for tickets using a number of search criteria. Administrators and users with permission to accept tickets can search all tickets. Other users can search only tickets assigned to them.
The ticket detail in the portal differs from the Autotask ticket detail but it displays all the information from the original ticket that is needed to accept or decline the ticket and complete the work. The ticket toolbar, which varies depending on the outsource status, provides options to accept or decline; reassign; add time, costs, notes and attachments; print the ticket or a work order, complete the ticket, and generate a printable invoice.
Two reports for work received are available to the service partner: Summary Report and Status Report.
Users with administrative permission can manage the company profile, add and assign resources, edit resource information, and reset user passwords. Only resources added to the system can access the Subcontractor Portal site.
All users can manage their own personal profile, updating information and changing passwords as needed. The Subcontractor Portal log on page also features a forgotten password option.
